COVID-19: Reminders for our Community
Dear RPCS Community,
First of all, thank you all for your ongoing efforts to keep our community safe. We are well into the swing of the school year and as we look ahead to the holiday season, it is increasingly important that we stay vigilant in our efforts to mitigate the spread of COVID-19.
The COVID-19 Support Team thought it would be helpful to compile a list of resources and reminders on day-to-day operations. Please see below for relevant information.

Masks
- Masks must be worn at ALL times indoors and outdoors unless you are working by yourself in a space or are by yourself outdoors at least 10 feet away from others.
- Masks breaks can be taken outside

Staying Outdoors
We will be staying outdoors as much as possible, even as the weather turns colder. This means it is important that students and teachers always dress appropriately to stay comfortable in the elements. It is safe to assume that you will be going outdoors every single day, unless Division Heads communicate otherwise based on extreme weather.

Setting up the AUXS App for Health Screening and Notifications
The AUXS App for Health Screening and Notifications allows us to symptom screen and clear people for entrance into campus. It also will be utilized for emergency communications sent out by the school (including weather related closures, etc.). Below you will find step-by-step directions for setting up the AUXS app. All questions regarding the app need to be directed to the Screening Team (screening@rpcs.org).
1. Open email from Safetyapp@auxstech.org and click on the link to set up your account (the link expires after 48 hours. If your link has expired, please email screening@rpcs.org for assistance.
2. Enter your full email and create a new password.
3. Log back into the app with your new password.
a. When entering your email, do not add any additional spaces (i.e. after org)
b. Passwords and emails are case sensitive
4. Complete the Screening Form
a. COVID 19 Screening - Non-Students (to be filled out by faculty and staff)
b. COVID 19 Screening - US Students (to be filled out by US students)
c. COVID 19 Screening for Students (to be filled out by parents of MS and LS and Little/Littlest Reds students)
5. For PARENTS of LS and MS students
a. When entering your child’s name, wait for the drop down list of names to appear. This may take several seconds. Once it does, select your child from the list.
6. Read and complete all screening questions. The Submit button will turn dark blue when the form is completed and filled out properly. Click Submit.
7. Notifications:
a. Green Pass (in app and emailed): Thank you for answering the COVID-19 Screening questions. We will be happy to see you on campus today.
b. “Failed” Screening: Please contact the school at (410)323-5505 for further information and guidance before coming to school. Call between 7:00AM- 9:00AM or 12PM-2PM. E-mail COVID Support Team at screening@rpcs.org to follow up on your screening.
Symptom Screening Questions
Symptoms: Any cough, shortness of breath, difficulty breathing or chest pressure, sore throat, fatigue/unusual tiredness, muscle of body aches, feeling off or ill in general or headache not typical for you, nausea vomiting stomach ache, diarrhea or new loss of taste or smell, temperate > 100 deg in last 24 hours; are you taking any meds to reduce a fever?
Exposure: Has anyone in your family or whom you have been in close contact with exhibited any of the above symptoms / do you or anyone in your household have a pending COVID result / have you had contact with someone who has tested positive for COVID-19 in the last 14 days?
Setting up the SchoolPass App for Checking In and Out
This app is used for us to track attendance for Little and Littlest Reds, US students and all employees. If you have any trouble with the app, please contact the Screening Team (screening@rpcs.org).
Below you will find step-by-step directions for setting up and using the School Pass app.
- You will receive 2 emails from SchoolPass to get your account set up.
The first email subject is: SchoolPass Code. Click on the link embedded in this email. (Please check your junk/spam for this email as sometimes it gets filtered there)
A new window will pop up with a QR code. You can add this QR code to your Wallet (iPhone/Apple mobile users) or Google Pay for Android users.
On the School Pass itself, you will see your name, the name of the school and the school year.
Your Quick Pin is in the upper right hand corner of the pass
- The second email subject is: Welcome to SchoolPass. Follow the instructions in the email to set up your account. (This step is not required for employees)
For Little and Littlest Reds Parents: this is necessary to set up an account for your child to sign in and sign out each day.
To sign in and out of School Pass at RPCS
- iPads are located at the various entrances for US students and staff to sign in and out of School Pass
- Harris Center
- LS Entrance
- Athletics Center Entrance
- MS Office
- Option 1 to Sign In/Sign Out:
- Using the QR Code: pull up the QR code on your phone and select the Sign In or Sign Out button on the iPad
- Hold your phone up to the back of the device (by the camera) so it can read the QR code
- Once read - you will see a notification you are successfully signed in (or signed out)
- Option 2 to Sign In/Sign Out:
- Using the Quick Pin (located in the upper right hand corner of your School Pass)
- Select Staff or Student on the iPad
- Enter your Quick Pin in the bar and select Sign In or Sign Out
- You will see a notification you are successfully signed in (or signed out)
Travel Policy
As prevalence rates are increasing, we have decided that beginning Friday, October 30, 2020, we are no longer enforcing blanket restrictions based on out-of-state travel. To be clear, the reason for this change is that we are categorizing any non-essential travel as risky, regardless of the state traveled (or even if it is within state lines).
Healthcare Services Group (HCSG) Cleaning Schedule
We have partnered with Healthcare Services Group (HCSG) to support us in maintaining a healthy building and keeping our students, faculty and staff safe. Feedback from our employees has enabled us to find the most efficient way for HCSG to organize the cleaning schedule. We are working with HCSG to time the cleanings so that areas are cleaned as soon as students leave and with enough time for the product to dry before a new group enters.
Healthcare Services Group (HCSG) Process and Product Information
HCSG uses electrostatic sprayers to apply peroxide multi-surface cleaner and disinfectant throughout the building. Electrostatic spraying (ESS) devices apply an electric charge to liquid particles and this charge increases the attraction of the droplets to hard surfaces. ESS helps deliver uniform and consistent coverage of disinfectants to surfaces. ESS devices or products are not designed to treat the air.
The product used in the spray is EPA approved. If you are sensitive to smells or find the product irritating, it is best to step out of the room for a few minutes before returning to let the particles settle.
Clearing Individuals Back to Campus
The health and safety of our community is our top priority. We wanted to further define our process for clearing individuals, who have been out due to any number of reasons, for a return to campus.
1. Collect information on the situation including health symptoms, possible exposures, travel plans/scenarios - essentially, any and all pertinent information.
2. Provide decisions or recommendations based upon information collected in speaking with the individual and available data from other scientific outlets.
3. If a decision is made for an individual to go home, remain home, get tested etc., the screening team will disable this individual’s AUXS app. By disabling the app, that individual will not be able to receive a green pass for entry on campus. A reminder that:
a. LS green passes are checked every day by staff at carpool
b. MS green passes are checked every day by staff at carpool
c. US green passes are checked every day by staff at Athletic Center entrance and Harris Center entrance
4. In order for an individual to be cleared to return to campus they must meet criteria for their specific scenario. Examples of some criteria include:
a. Quarantine - remain at home for 14 days
b. Isolate - remain home for 10-14 days
c. Travel - depending on location, require a negative COVID test
d. COVID test requirement - results must be sent to COVID team and negative COVID PCR test must be received
e. Symptom-free without using fever reducing medication for 72 hours
f. Separation from campus pending test results: notified by Health Suite as to next steps
5. Once these criteria have been met, the individual will be notified and the screening team will reactivate their AUXS app.

Using the "Need Assistance" Button - For RPCS Employees
This button shows on the home screen of the AUXS app. The alerts are sent to a select group of individuals that can respond to the request. This feature is intended for emergency-like situations including those related to security, health suite or counseling. This feature is used in situations such as:
- Panic attack in classroom/on campus
- Assistance needed for injured individual
- Emergency illness in classroom
This feature is not intended for casual use. All of the examples below can be communicated by using the radios that have been supplied. Do not use the student’s name in the message.
- Lost/forgotten water bottle or utensils for lunch
- Small scrapes and bruises
- Student who needs to come inside to use restroom
- Missing lunch
Maintenance Work Orders and PPE - For RPCS Employees
If you need something that is maintenance related, like keys, HVAC issues, etc. you will need to send a work order to Maintenance. There are instructions on MyRPCS on how to enter a work order in Schooldude. Go to Resources, Employee Resources and scroll down for a quick link. You can also put work orders in for Healthcare Services Group.
For faculty members - Wipes, gloves and Purell can be found in divisional offices. If you need to swap out your empty box of wipes, please see your divisional assistant for additional product.
For non-faculty - Please complete a work order for additional supplies. A member of the maintenance team will drop off whatever item(s) you have requested.
MAINTENANCE-SET UP REQUESTS
If you have an event set up, which is usually time sensitive and could include catering, tables, chairs, etc., you will need to send a set up request through Schooldude. Set up requests are entered by Division Admin. Assistants or if you are not associated with a division, by Tori Murrill. Please email her at murrillt@rpcs.org with your requirements.

COMMUNICATION ON RADIOS
We have invested heavily in supplying radios throughout the building. The intention in doing so was to maximize communication throughout the day between relevant parties. The radios are intended to be used not only for carpool but for situations where you need assistance. Situations like a lost/forgotten water bottle or utensils for lunch, small scrapes and bruises, a student who needs to come inside to use the restroom, a missing lunch etc. all need to be communicated through the radios.
In your communication - be clear about your name, your division, classroom/area of the building and the need you have. For example - Meg Miller, MS division, Room 011 - Susie Rolandparker in 6th grade is missing her lunch.
